WS-00 / When to Start

The right time is when the gap is costing you.

Coordination overhead starts invisible. Then one day you notice you are spending real hours on preparation that used to take minutes, re-explaining context you have already explained, and watching things fall between tools that were never designed to talk to each other. That is the signal. When the gap is visible, it is already costing you more than the engagement will.

WS-01 Readiness signals

You already know if you are ready.

Three patterns show up consistently in firms that are ready to engage. You do not need all three. One is usually enough.

01

You re-explain context regularly.

To your team when a project changes hands. To new hires who need to understand how you work. To the agents and AI tools you have tried to use, which never quite hold onto the picture of your business. The model of your firm exists only in your head, and every time someone else needs it you rebuild it from scratch.

02

Preparation is eating your margin.

The work before the deliverable: gathering materials, assembling context, formatting for the client, making sure the right person has the right version. These are human hours running on your highest-cost resource. They do not show up as a line item, but they are there in every project budget.

03

Things fall between tools.

Five platforms and none of them know what the others know. A decision made in a meeting lives nowhere. A client note from six months ago requires a search across three apps. The work exists but the system has no memory of it, so you carry that memory yourself.

WS-02 How it starts

An Engagement, not a trial.

The path in

You do not configure software. You do not migrate data or write documentation or spend a month in onboarding calls. We run the Seeding Protocol: a structured five-phase process where we harvest your existing materials, form the model of your business, render it back to you for verification, and hand you a running Surface. Within a week of starting, you will see your business modeled back at you. If it does not match reality, we fix it before you go live.

WS-03 The Seeding Protocol

Five phases. One structured path.

Every Engagement follows the same sequence. No phase is skipped.

Access

We get what we need.

Credentials, accounts, document stores, and communication channels. We map what exists and establish the intake path before any harvesting begins.

Harvest

We take the mess.

Unstructured documents, old proposals, meeting notes, SOPs in someone's head: we pull it all in. You do not clean it up first. That is our job.

Assimilation

The model forms.

We process everything harvested and construct the semantic model of your business: your clients, your services, your team, your processes, your language.

Verification

You confirm it is right.

We render the model back and you review it. Gaps are flagged and corrected here, before anything goes live. This is the gate. Nothing advances without your sign-off.

Activation

You run.

The Surface is live with your model loaded. Your team is on. The Queue starts filling. The coordination overhead that brought you here begins to clear.

WS-04 What to expect

A timeline you can plan around.

Most firms are running on the Surface within two weeks of starting the Engagement. The exact timeline depends on the volume of materials in the Harvest phase, but the protocol is designed to move fast. You will not be waiting on us.

This is not a trial. It is a commitment to building something real. The Engagement is the product: a modeled, running, verified representation of your business loaded into a platform your firm will actually use. What you are buying is the work of getting there, and the infrastructure that runs on the other side of it.

WS-05 Begin

Start when the gap is visible.

If the signals above describe your firm, the right time is now. The Engagement starts with a conversation: what you have, what is costing you, and whether we are the right fit.
